This summary provides key points from our privacy notice. You can find more detail on any of these topics in the numbered section of the same name below.
What personal information do we process? When you visit, use, or navigate the Services, we process the information you and your organization provide when your account is created, the credentials you use to sign in, and the content of the requests, uploads, and reports you create in the Services.
Do we process any sensitive personal information? We do not process sensitive personal information.
Do we collect any information from third parties? We do not collect any information about you from third parties.
How do we process your information? We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We process your information only when we have a valid legal reason to do so.
In what situations and with which types of parties do we share personal information? We share information with the vendors that host and operate the Services on our behalf, and, for organization-scoped content, with the administrators of your own organization. We do not sell your personal information and we do not share it for advertising.
How do we keep your information safe? We have organizational and technical processes and procedures in place to protect your personal information. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.
What are your rights? Depending on where you are located geographically, the applicable privacy law may mean you have certain rights regarding your personal information.
How do you exercise your rights? The easiest way to exercise your rights is by contacting us at Info@iSimchaHealth.com. We will consider and act upon any request in accordance with applicable data protection laws.
In Short: We collect personal information that you, or your organization on your behalf, provide to us.
Accounts in the Services are provisioned by invitation rather than by open self-service registration. We collect personal information that is provided to us when your account is created, when you sign in, when you participate in activities in the Services, or otherwise when you contact us. The personal information we collect is:
Sensitive Information. We do not process sensitive information.
Social Media Login Data. We do not offer registration or sign-in through third-party social media accounts, so we collect no profile information from any social media provider. See section 5 below.
All personal information provided to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
In Short: Some information, such as your Internet Protocol (IP) address and browser characteristics, is collected automatically when you use the Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity but may include device and usage information. It is needed to maintain the security and operation of the Services. The information we collect includes:
We do not receive information about you from Google APIs. We use Google Cloud services to host the Services and to store the report documents we generate for you, as a service provider acting on our behalf.
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.
We process your personal information for a variety of reasons, depending on how you interact with the Services, including:
In Short: We may share information in the specific situations described in this section and with the following categories of third parties.
We use a combination of physical, technical, and administrative safeguards to protect the information we collect through the Services. While we use these precautions to safeguard your information, we cannot guarantee the security of the networks, systems, servers, devices, and databases we operate or that are operated on our behalf.
In Short: We use one cookie to keep you signed in. We run no analytics or advertising trackers.
The Services set a single session cookie when you sign in. It holds your encrypted session and is what keeps you signed in as you move between screens; without it the Services cannot work. We also use your browser’s session storage to remember screen preferences, such as the layout of a results grid, until you close the tab.
We run no analytics, advertising, or behavioural tracking technologies of any kind. There is no Google Analytics, tag manager, advertising pixel, web beacon, or third-party session-recording tool in the Services, and no third party places a cookie through them. Because we do not sell or share personal information for targeted advertising, there is no advertising opt-out for you to exercise.
Most web browsers accept cookies by default. If you set your browser to reject cookies, you will not be able to sign in to the Services.
In Short: We do not offer social logins.
The Services do not offer registration or sign-in through third-party social media accounts such as Facebook, X, Google, or LinkedIn. Sign-in is by email address and password, or by an emailed single-use sign-in link, followed by two-factor authentication with an authenticator app or a single-use recovery code. We therefore receive no profile information, friend lists, or other data from any social media provider.
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.
Account information, request content, and organization uploads are kept for as long as your account exists and for as long as we need them to provide the Services, unless a longer retention period is required or permitted by law.
Generated reports are kept under an explicit retention period. The retention in force when a report is requested is 365 days by default; an application administrator can set a different value, bounded between 30 and 3,650 days. The value in force is recorded on each report when it is created and is never revisited afterwards, so changing the setting later cannot shorten a retention already applied to an existing report. A daily job deletes each stored report document once its retention has expired and marks the report as expired, keeping only the record that it existed and when it was purged.
Audit log entries are retained for the life of the account, because they are the record of what was done in the Services and by whom.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize it, or, if this is not possible (for example, because it is stored in backup archives), we will securely store it and isolate it from any further processing until deletion is possible.
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of the personal information we process. Passwords and recovery codes are stored only as bcrypt hashes, two-factor authentication is required on every account, sessions can be revoked centrally, and access to records is restricted per account and per organization at the database level. However, despite our safeguards, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. You should only access the Services within a secure environment.
In Short: We do not knowingly collect data from or market to children under 18 years of age.
The Services are a professional tool provisioned to named individuals at member organizations. We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18. If we learn that personal information from a user less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from a child under age 18, please contact us at Info@iSimchaHealth.com.
In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
Withdrawing your consent: If we are relying on your consent to process your personal information, you have the right to withdraw that consent at any time by contacting us using the details in section 13 below. This will not affect the lawfulness of the processing before its withdrawal, nor, where applicable law allows, the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
If you would at any time like to review or change the information in your account, or close your account, you can:
Upon a request to close your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information, including audit records, to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms, or comply with applicable legal requirements.
Cookies and similar technologies: The Services use a single session cookie, which is required to sign in. If you set your browser to reject cookies, you will not be able to use the Services.
If you have questions or comments about your privacy rights, you may email us at Info@iSimchaHealth.com.
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. We do not track you across websites in any case. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.
In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Montana, New Hampshire, New Jersey, Oregon, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information. These rights may be limited in some circumstances by applicable law.
